Stop Chasing Payments. For good.
Accept a stallholder and LocalStalls does the rest — the invoice goes out with a secure pay link, reminders chase the stragglers, and the money settles straight into your account. With pricing rules as simple or as clever as your market needs.
Invoicing and payments are part of our paid plans — start free, switch them on when you’re ready.
From Accept to Reconciled
Invoices raise themselves. Reminders send themselves. Your books balance themselves.
Every fee your market charges — stall fees, power, marquee hire, deposits, season passes — flows through one pipeline you watch from a single screen.
Invoices That Send themselves.
Acceptance is the only click required — the invoice is the consequence.
The moment you accept an application, LocalStalls raises the invoice from your pricing rules and emails it with a secure pay link. You choose the timing — and for the stallholders who come back every week, you never raise an invoice again.
- Generated on acceptance: invoice raised, itemised and sent the moment you click Accept.
- Accept now, invoice your way: send immediately, schedule it automatically for later — say, 30 days before market day — or hold it and send manually.
- Recurring for regulars: permanent and repeat stallholders are invoiced automatically every week, month or season. Set it once.
Every Invoice, Every Status, One Ledger
See what’s paid, what’s due and what’s overdue — before it becomes a problem.
Automation doesn’t mean losing the wheel. The ledger shows every invoice across every event with its live status — and when something needs a human touch, you can raise and send an invoice yourself in a couple of clicks.
- Manual when you want it: create one-off or custom invoices — extra fees, adjustments, anything — and send them from the same screen.
- Status at a glance: Paid, Due and Overdue across every invoice, filterable by event or stallholder.
- Reminders you never send: overdue invoices are chased automatically — polite, persistent and off your plate.
Tidy Books, Nothing Re-Typed
Revenue reporting built in — and synced straight into your accounting.
Invoicing data shouldn’t die in the tool that made it. See revenue by event, stallholder or period, hand your committee a clean export, and let your accounting package stay in step by itself.
- Reporting & exports: invoicing and revenue reports on screen, with downloadable exports for your accountant, committee or council.
- Xero & QuickBooks: invoices and payments sync across automatically — nothing entered twice, nothing missed at BAS time.
- Outstanding at a glance: one number tells you what’s still owed across the whole market.
Paid Your Way — Stripe, Square or PayPal
Connect your account once. Every pay link settles directly to you.
Stallholders pay by card from the invoice’s secure pay link, on any device. LocalStalls never holds your money — it lands in your own gateway account, on your gateway’s normal payout schedule.
- Stripe, Square & PayPal: connect in minutes with the account you already have.
- Direct to your account: payments settle straight to you — we never touch the funds.
- Need a specific gateway? If your council or organisation is tied to a particular payment provider, talk to us — we can build the integration.
Pricing Rules for Every Kind of Market
Start with one flat stall fee — or layer rules a spreadsheet could never keep up with.
Your pricing is part of the pipeline: whatever rules you set are what applications quote, invoices charge and reports total. Stack them however your market works.
- Simple to advanced: flat fees, category-based pricing, zone-based pricing for premium spots, early-bird discounts and multi-date discounts.
- Seasonal pricing: peak-season rates, or one season-pass price for the regulars.
- Deposits supported: take a deposit at acceptance and auto-invoice the balance closer to market day. Learn more
- Sales-revenue-based pricing: charge a percentage of what stallholders actually sell — fair for them, right for you. Learn more

Questions Organisers Ask Us
Do invoices really go out without us doing anything?
Yes — accept an application and the invoice is raised from your pricing rules and emailed with a secure pay link. You control the timing per event: immediately, scheduled for later (say, 30 days before market day), or held for you to send manually.
Can we still create invoices manually?
Any time. Raise one-off or custom invoices — an extra fee, a correction, a special arrangement — and send them from the same ledger, alongside everything the automation produces.
What happens when a stallholder doesn’t pay?
The invoice flips to Overdue in your ledger, and automatic payment reminders start chasing it for you. You always see the outstanding total at a glance — and you decide if or when to step in personally.
Which payment providers can we use?
Stripe, Square and PayPal are built in — connect your existing account and payments settle directly to you. If your organisation is required to use a specific payment gateway, talk to us: we can build the integration.
Does it work with our accounting software?
Invoices and payments sync automatically with Xero and QuickBooks, so nothing is entered twice. For anything else, revenue and invoicing reports export cleanly for your accountant or committee.
Can we charge deposits, or a percentage of sales?
Both. Take a deposit at acceptance with the balance auto-invoiced closer to market day, or price stalls as a percentage of the sales a stallholder actually makes. Read how sales-revenue pricing works.
